At The Exotic Odyssey we use your information to provide you with the best service, but our main responsibility is to keep this information safe and to only use it in the way you may want it.  Therefore, our main objectives are to:

Type of Information We Collect and Hold

Depending on the circumstances andin the course of providing a service to you, where you send us and inquiry, The Exotic Odyssey may hold and collect and hold personation information, such as:

• Name, Date of Birth, Gender, Address, Telephone Number, Email Address, City and Country,
• Travel-related information such as destinations you may be interested in, how many persons are to travel with you, your budget, your travel dates and for any tour requirements and preferences,
• Other details such as: passport information, travel insurance, credit card details and flight tickets. We also collect IP addresses in order to get some basic statistics such as the number of visits, the bounce rate and the location of our visitors.  This kind of information will enable The Exotic Odyssey to provide bespoke and superior services to our guests.

However, we never collect information such as:

• Sensitive information like religion, politics, race, colour, sexuality or health unless the service you ask us to provide requires it (e.g. access for disabled persons, access to medical centres in case of emergency during your trip.
• Personal information from children under the age of 18 unless the written consent is required.

When you are travelling with us, we may take videos or pictures of you that may be used in brochures, in our advertising or on our website.  For this we would be truly grateful as this would help to promote our company by sharing your experiences with others.  All participants of The Exotic Odyssey trips authorise us to use his/her images (such as photography, video tape, film or pictorial representation, or recorded voice.  If you do not wish for this to be shared, please notify us in writing using our contact details.

How Do We Collect and Store the Information?

We collect your information using the following methods:

• From enquiry forms from our website, written forms during events or from our social media,
• From online booking enquiries from our partner websites when you enquire about a program or when you would like a bespoke quotation (you can refer to the ‘Third Parties’ section which details the lists of partners we collect your information from),
• From one-on-one conversations with our travel experts during our events or personalised calls over the phone, mobile or other messaging technologies,
• From tour leaders who are in charge of a trip and who will have to get the approval of all guests to provide their personal information to Exotic Odyssey in order for us to offer the most personalised services,
• From emails sent to our contact email addresses,
• From booking and feedback forms.

Why Do We Collect, Use, Hold and Disclose Your Information?

We collect your personal information so that we can perform our businessactivities and functions to provide the best possible services to you.  We may collect for the following purposes, i.e. to:

• Identify you, understand your needs and reply to you when you make an enquiry,
• Inform you by sending you our newsletters on our latest programs or promotions,
• Adapt, on a day-to-day basis, our offer according to your needs,
• Personalise our communication and improve our product strategy based on your characteristics or preferences,
• Comply with the law or any legal authority if they require it,
• Finalise your booking and provide our partners with required information. As a Travel Agent, we provide services on behalf of other providers (hotel, transport, insurance, activities organisers, etc.)

• We are only permitted to store your information for as long as necessary having regard to the purposes for which it is collected or a related or ancillary purpose.  We may therefore delete your information after a reasonable period of time and if you have not used our services for an extended time you may have to resubmit it.
